Vendor General Guidelines

 
Hours: Vendors can begin Saturday at 7:00 am.  Required operating hours 9:00 am to 6:00 pm Vendors must be in operation during the required operation hours except at the direction of the LPBBQ Showdown Committee.
 
Non-Food Vendors          10X10 Area         $100.00  add $50 for electricity (subject to approval)
Food Vendors                    Trailer Area        $150 with electricity and water connection
Non-Profit Vendor (subject to approval, non-political)      10X10 Area         $35
 
Full payment is required to secure a booth or food vendor space.  You will be notified by email if your application is/is not approved.  NO refunds once vendor application has been approved.  We limit the number of same food items to one of each kind.
 
Beverages: Lost Pine BBQ Showdown has exclusive rights to all water/soda/alcoholic beverage sales concessions.  Violations will result in immediate expulsion from the event.  If you have a beverage that does not fit into the water/soda/alcoholic beverage list, you can add your beverages to your food list and the Lost Pine BBQ Showdown Committee will contact you to approve/disapprove your option.
 
Equipment: If you have signed up and been approved for electricity, you will need to bring at least 100 feet of extension cords to make sure that you can reach the outlets in the park.  Any other equipment (e.g., tents, tables chairs, lighting, etc.) must be provided by the vendor.  There are six 20 amp spaces available for electricity for food vendors.
 
Sales Tax: All vendors doing sales are responsible for collecting and reporting 8.25% sales tax collected in Bastrop, Bastrop County.  Along with the applications, you must submit a copy of your sales tax permit, which must be displayed in your booth during the event.
 
            Other: Each Vendor is Responsible for Cleanliness of their booth area, all necessary supplies.   No generators. Vendors may not use amplified sound.
 
Failure to abide by the rules of the Lost Pines BBQ Showdown Committee rules and stands of good conduct may result in immediate, permanent expulsion from the Lost Pines BBQ Showdown event.
 
Only one of each vendor type will be accepted (Committee will review registration types).

Waiver of Liability
In consideration for accepting this entry.  I, the undersigned, intending to legally bound, hereby for myself and my organizational entity, my heirs, my team members, executors and administrators, do hereby Release, indemnify, and hold harmless BBQ Cookoff  “Lost Pines BBQ Showdown”, the event sponsors, the Rotary Club of Bastrop County, the City of Smithville, along with their representatives, successors, employees and volunteers for any claims arising from or during the event.  Including without limitations, all cost, liabilities, judgement, expenses, damages, or reasonable attorney fees.
 
I hereby grant full permission to BBQ Cookoff “Lost Pines BBQ Showdown”, the Rotary Club of Bastrop, Riverbend Park,  and the City of Smithville, Texas, and/or agents authorized by them to use any photographs, video tapes, motion pictures, recordings, and any other record of the event for any legitimate purpose.

By submitting this form, I agree to the terms of liability, and I will abide by the 2022 Rules and Regulations of the BBQ Cookoff “Lost Pines BBQ Showdown.”
 
Disclaimer: By submitting this application, I assume all risk and hazards incidental to operating a vendor booth. I do hereby waive, release, and absolve and agree to hold harmless the Event Committee, Organizers, the Venue, and the City of Bastrop for any claim arising out of participation with the event.
